What makes a good invoice numbering scheme
Unique: never reuse a number, not even for a cancelled invoice.
Sequential: each new invoice in a series gets the next number. Article 226(2) of the VAT Directive allows "one or more series".
Sortable: zero-padding (001, 002…) and year-first dates keep files and spreadsheets in order.
Simple: the more parts you add (client codes, project codes) the easier it is to make mistakes. One series per year is enough for most freelancers.
Common formats: 2026-001, INV-2026-001, 26/001, 202610-01. National practice varies; a few countries have specific expectations about series and resets, so check locally.
Article 226(2) of the VAT Directive requires "a sequential number, based on one or more series, which uniquely identifies the invoice". So numbers must be unique and follow a sequence; you may run more than one series (for example one per year or per business line). Some countries add rules on gaps, resets or format; check locally.
Can I restart numbering every year?+
In many countries yes, as long as each number stays unique, which is why most schemes include the year (e.g. 2026-001). Some countries have specific expectations, so confirm with your tax authority or accountant.
Can I skip numbers or start at 100 so I look bigger?+
Starting a new series at any number is generally fine, but gaps inside a series can raise questions in an audit. Keep a record of any cancelled invoice instead of deleting it, and issue a credit note to correct a sent invoice.
Should I include the client name in the number?+
You can use a client code (e.g. 2026-ACME-001), but the sequence must still be unique and traceable. A single running series is simplest and least error-prone for most freelancers.
How do I correct a wrong invoice?+
Do not edit or reuse the number of an invoice you have already sent. Issue a credit note (with its own number, referring to the original invoice) and then a new invoice.
